The AWDA Conference is available only to Auto Care Association member companies or shareholder distributor companies of an Auto Care member program group. Additional eligibility requirements are also noted below.

The AWDA Conference is a two day event of pre-scheduled one-on-one business meetings centered around maintaining existing relationships between the premier vendors and distributors of the industry.

The AWDA Conference is all day on Sunday Oct. 29 and Monday Oct. 30 prior to the start of AAPEX. The one-on-one meetings are held in Venetian guest suites, reserved by the vendor companies, on two guestroom floors of the Venetian tower.

Vendor Eligibility Requirements
AAPEX Booth Requirement:
AWDA Vendor companies must reserve at least one (1) 10'x10' exhibit booth at AAPEX. AAPEX and AWDA have separate registration policies and fees.
Venetian Guest Suite / One-on-One Meeting Room:
Vendor companies must reserve one Venetian guest suite through the AWDA reservation link below for each registered meeting team. These suites may also be used as a sleeping room.
Auto Care Member with Existing Business Relationships:
Must be current Auto Care members and sell direct to at least seven distributor members or be approved by at least one major program group. Once registered, at least 8 WD companies must select your company to meet with in order to continue participation in the conference.
Schedule Creation Timeline
Let's get those meeting schedules created early! Participating companies must be attentive to the following timeline so meeting schedules can be shared approximately 6 weeks prior to the conference.
By Aug. 25: Register your company.
Between early - mid September: Select and rank the companies you'd like to meet. Deadlines vary between WDs and Vendors.
Between late September - mid October: Optional opportunity to manually edit automated schedule.

Registration fees, details, & requirements
Primary Delegate/Company: $1,300 (One registration at this level required for each company) Deadline is August 25, 2023.
Includes:
- One-on-one meeting scheduling services
- One (1) delegate registration
- First four (4) scheduled one-on-one meetings
Requirements for Vendor Company:
- Must sell to or through traditional distribution channels.
- Must be current, dues-paying member of AWDA Community of the Auto Care Association.
- Must reserve at least one (1) 10’x10’ exhibit booth at AAPEX.
- Must sell direct to at least seven (7) AWDA distributor members or be approved by at least one (1) major program group (Alliance, Pronto Network, Federated).
- Once registered, must have a minimum of 8 WD companies select your company in order to proceed with scheduling process.
Vendor Additional Delegate: $525 per attendee before 9/30/23 | $625 per attendee starting 10/1/23
Includes:
- Attendance at all company one-on-one meetings.
- Admission to all conference meals and social events.
Requirements for Vendor Additional Delegate:
- Must be employed by registered Vendor company.
One-on-One Per Meeting Fee: $125
- Invoices sent after conclusion of conference to capture actualized one-on-one meetings
- Companies will be charged for each meeting above the first four (4) meetings
Registration Cancellation Policy:
Cancellation notice to ashlie.vesper@autocare.org received:
- By September 30, 2023 will receive a full refund less a $50 administrative fee.
- By October 14, 2023, will receive a 50% refund
- On or after October 15, 2023 does not receive a refund.
Substitutions are accepted at any time and at no cost.

- Must purchase, warehouse and distribute (re-sell) motor vehicle parts and supplies primarily to repair shops.
- Must be current, dues-paying member of AWDA Community of the Auto Care Association or a shareholder of a major program group (Alliance, Pronto Network, Federated) with a special invitation to attend.
WD Additional Delegate: $425 per attendee before 9/30/23 | $525 per attendee begins 10/1/23
Includes:
- Attendance at all company one-on-one meetings
- Admission to all conference meals and social events.
- AAPEX/SEMA badge
Requirements for WD Additional Delegate:
- Must be employed by registered company

One-on-One Meetings in Detail
21 Pre-Scheduled time slots
- 10 slots on Sunday Oct. 29
- 11 slots on Monday Oct. 30.
- First time slot begins at 8:00 am each day (earlier optional time slots available).
- Last time slot is 4:15 pm on Sunday Oct. 29 and 5:00 pm on Monday Oct. 30.
- Each time slot is 40 minutes in length
- 5 minutes of travel time between time slots
- Ability to customize availability and "block" specific time slots
2 Optional Self-Scheduled Time Slots
- Each optional time slot is 30 minutes in length
- Optional time slot is 7:15 am - 7:45 am on both days.
- Opportunity to manually schedule these time slots will begin on Sept. 30, 2023
schedule creation & multiple teams
- Each company will create an account in the MeetMax online Scheduling software.
- Companies will select and rank their preferred companies.
- Meeting creation is automated and MeetMax algorithm focuses on mutual, high ranking selections between companies.
- Companies may anonymously block or “opt-out” out of meetings with certain companies. (Limit of 3 opt-outs)
- Companies may bring multiple teams to allow for more one-on-one meetings.
- There is no additional registration cost for added teams.
- Teams that have a specific business function (Ex. Marketing, IT) may need to create their own MeetMax account to ensure distinct schedules
- Companies bringing multiple teams just to allow for higher number of meetings can utilize just one MeetMax account.

Vendor One-on-One Suites (Required for vendors)
These guest suites, assigned to two specific AWDA guest floors of the Venetian Tower, are the locations of the one-on-one meetings. Each company must reserve at least one guest suite for each meeting team that is participating in the one-on-one meetings. (One-on-one suites may also serve as a sleeping guest suite for an attendee)
