The UTIC Convention is a two and a half day event that brings together the premier trim wholesalers and vendors of the industry for private, high-level, one-on-one business meetings to further your business and strengthen relationships.

The UTIC Convention will be held Oct. 13-15, 2021 with the one-on-one business meetings occurring the afternoon of Wednesday Oct. 13, and then all day Thursday Oct. 14 and Friday Oct. 15.

The Hyatt Regency Hill Country Resort & Spa is centrally located in San Antonio, TX. The sprawling resort will provide attendees the opportunity to enjoy the outdoors during one of the networking receptions or to explore on their own with various resort activities.

UTIC Convention Health and Safety Update

PROOF OF COVID-19 VACCINATION OR NEGATIVE PCR TEST NOW REQUIRED

In order to attend the UTIC Convention in San Antonio, all attendees are required to show proof onsite (physical or digital) of full vaccination or provide a negative PCR test conducted no more than 72 hours prior to your arrival at the event. Auto Care Association encourages all event participants to be vaccinated, however, a vaccination is not required for in-person attendance. 

A person is considered fully vaccinated: 

  • 2 weeks after their second dose in a 2-dose series, such as the Pfizer and Moderna vaccines, or
  • 2 weeks after a single-dose vaccine, such as Johnson & Johnson’s Janssen vaccine.

In addition to the vaccination or testing requirements, and consistent with recommendations by the CDC, all participants will be required to wear a mask when not actively eating or drinking.

Auto Care Association staff on-site will also abide by these guidelines.

Lifetime Achievement Award

Celebrated at the Wednesday Chairman’s Dinner, the UTIC Convention is honored to recognize Chuck Streich of Spradling International, Inc. for his nearly 50 years of dedication and contributions to the industry and UTIC community.

 

Hall of Fame Award

Recognized at the Thursday luncheon, the UTIC Convention will induct Tom Kosobayashi of Pyramid Trim Products, Inc. in the UTIC Hall of Fame in acknowledgment of his over 40 years of service to the UTIC industry.

Primary Exhibitor/Manufacturer Delegate: $1,225 each 2021 Exclusive Rate, regularly $1,325

Includes:

  • One-on-one meeting scheduling services
  • One delegate registration to all convention events

Requirements:

  • Only one registration at this level required for each manufacturer company
  • Must sell to or through traditional distribution channels.
  • Must be current, dues-paying members of the Auto Care Association.
  • Must reserve at least one one-on-one meeting suite to host the business meetings
  • All first time attending companies are subject to UTIC volunteer committee approval

  • One delegate registration to all convention events

Requirements:

  • Must be current, dues-paying members of the Auto Care Association.
  • Must represent and be invited by current vendor registrations of the 2021 UTIC Convention
  • Manufacturers’ Representatives are not permitted to represent and/or sell for any unregistered firm and any attempt to do so will result in immediate dismissal from the convention and all events

Guests

Social Guests: $49 each

Includes:

  • Ability to attend the breakfasts, receptions and dinner of the convention (not permitted in one-on-one meetings)

Restrictions:

  • Guests participating in the one-on-one meetings must register at the designated delegate rate and not as a social guest.
Convention Policies
  1. The exhibitors’ registration fee entitles eligible participating exhibitors to represent only those product lines that these firms manufacture and/or warehouse, sell and invoice on a regular basis.
  2. Manufacturers’ representatives may attend only if they represent the exhibitors in attendance whom they regularly represent throughout the year and if the member representative has paid the required registration fee
  3. Manufacturers’ representatives are not permitted to represent and /or sell for any unregistered firm and any attempt to do so will result in immediate dismissal from the convention and all events.
  4. Attempts by unregistered firms or individuals to sell their products to registered wholesalers and distributors or attempts by unregistered wholesalers or others to buy from registered exhibitors, is in violation of convention policy, and should be reported immediately to an Auto Care staff representative or a member of the Auto Care UTIC Committee for appropriate action.
  5. Only registered attendees and Auto Care staff representatives are permitted into the exhibit rooms during the scheduled one-on-one meetings.
  6. Only those fully registered for the UTIC convention may attend official show events.
  7. Company signage is not permitted outside of an exhibitor’s room and doorway. UTIC Convention will provide company signage that is approved for use.
  8. Companies may create up to two teams per registration fee to hold one-on-one meetings to maximize efficiency and scheduling. Any additional teams beyond two will be subject to an additional registration fee as designated by their registration level.

MeetMax:

Companies will use MeetMax online scheduling software to pre-schedule one-on-one business meetings

Wholesalers will designate company and time and a notice will be sent to the corresponding company

Exhibitors do not need to “accept” the meeting as it will be automatically scheduled

After wholesalers schedule appointments, exhibitors will be given the opportunity to request a meeting with a wholesaler which that wholesaler may accept or deny

One-on-One Meeting Locations

Exhibitor companies are required to reserve a guest suite in order to host the one-on-one meetings.

Exhibitors will utilize the Hyatt’s Hill Country Suites for the one-on-one meetings. These suites have a door separating the living room area from the bedroom area.

Convention will strive to have all exhibitor guest suites located as closely to one another as possible for the travel convenience of the wholesalers. Suites will likely span over two consecutive guestroom floors.

Meeting Teams:

Companies may bring up to two meeting teams to schedule one-on-one meetings. Please contact leah.jones@autocare.org if your company wishes to utilize a second team to ensure a separate MeetMax account is created.

frequently asked questions

How will Auto Care Association verify vaccination status or negative COVID test result?

Auto Care Association staff will physically review your vaccination card or test result at registration to confirm that it meets the requirements.

May I bring a photocopy or cell phone photo of my vaccination card or negative COVID test result?

Yes. While our preference is that you present your physical vaccination card or test result, a legible cell phone picture will be acceptable.

May I bring another form of vaccine authorization such as CLEAR or a similar app?

To facilitate the onsite registration process, we are only accepting the physical or photo verification methods stated above.

How can I obtain a negative PCR test?

COVID-19 PCR tests are available through a variety of providers and may be covered by insurance.  You can also check your state or local health department websites for the latest information on testing locations. The Centers for Disease Control provides links to these state and local health departments.

Will Auto Care record my vaccination status or my PCR test results?

No. Auto Care staff will verify vaccination status and negative COVID test at registration only. No physical or electronic records of your information will be stored.

Will social distancing measures be in place during meetings, the lunch, and networking events?

Efforts will be made, but cannot be guaranteed, to maintain social distancing during event activities. When possible, events will be held outdoors to reduce the risk of possible transmission.
